How to Edit

Adding a person to the Scheduling Calendar or an event to the Events Calendar works the same way. Nothing you do here is saved until you press Save changes.

1. Turn on editing
Press Edit calendar, in the bar at the top of the page.

You can edit this calendar.
2. Pick the right calendar
Use the tabs to switch between the Events Calendar and the Scheduling Calendar before you click a day — people and shifts go on the Scheduling Calendar.
3. Click the day
With editing on, every day in the grid (or list, on a phone) can be clicked to open it.

Erica 10:30a - 5p
OPEN COOK 5p - cls
4. Add or change entries
A panel slides in for that day. Pick the type from the dropdown — Bartender, Cook, Other or Note on the Scheduling Calendar — and type the name and shift, like "Kate 10:30a - 6p". Press + Add entry for another line on the same day, or the ✕ to remove one.
5. Close the day and save
Press Done to close that day's panel — your change stays on the page but isn't live yet. Repeat for any other days, then press Save changes to publish for everyone. Discard throws away everything you changed since you pressed Edit calendar.

Unsaved changes. Save to update both calendars for everyone.
6. Quick add: pick a person from a list
On the Scheduling Calendar, open a day. Under Quick add, choose the person and their shift from the dropdowns and press Add to this day. The role (Bartender, Cook) fills in for you and you can still change it. For a shift that still needs someone, choose Open Cook or Open Bartender. Press Done when you are finished with the day.

Person Shift
7. Bulk add: the same shift on many days
Example: Ahna works open to close every Tuesday and Wednesday in November. On the Scheduling Calendar, go to the month you want and press Bulk add shifts.

Editing: click any day to change its entries.
1. Choose the Person, their Role and the Shift times. For someone or times that are not in the list, pick “Someone else…” or “Other times…” and type them.
2. Tick the days of the week, like Tue and Wed.
3. Set the From and To dates. It starts with the whole month you were looking at.
4. Read the line under the form. It tells you how many days will be added and skips days where that person is already scheduled.
5. Press Add shifts, look over the calendar, then press Save changes. Nothing is live until you save, and Discard undoes it all.
Mon Tue Wed Thu

Will add “Ahna 10:30a - cls” to 8 days.
8. Manage staff: add or remove people
Press Manage staff (Scheduling Calendar, while editing). The box is the list of people who appear in the dropdowns, one name per line. Type a name on a new line to add someone. When someone leaves, delete their line. Then press Update list and Save changes.

The names above are the current list. Open Bartender and Open Cook are not on it because they are not people. They are always in the dropdowns so you can mark a shift that still needs someone. Removing a name only takes that person out of the dropdowns. It never deletes shifts already on the calendar, so past days stay as they were. If the person still has upcoming shifts, you will be told so you can change those yourself. Someone you add with “Someone else…” is added to this list automatically.
